Wrexham Business Professionals is committed to protecting the privacy and security of your personal information. This privacy notice describes how we collect and use personal information about you, in accordance with the General Data Protection Regulation (GDPR), to make sure you can be confident about giving us your information. This policy is effective from 25th May 2018.

In this notice, whenever you see the words ‘we’, ‘us’, ‘our’ and ‘WBP’, it refers to Wrexham Business Professionals. Whenever you see the words ‘you’ and ‘your’, it refers to the members of WBP.

WBP is a network of successful businesses and highly skilled business professionals working together, non-competitively, to raise the profile of enterprise and expertise that exists in the region and beyond. We are a not-for-profit organisation and only process your personal information to maintain our membership list for as long as you are a member of WBP. We will only share information with people and organisations necessary to carry out our activities (e.g. speakers at our events). Although WBP does not have to formally register with the Information Commissioner’s Office (ICO), we have voluntarily registered and our ICO registration number is ZA370405.

Our Responsibilities and Data Protection Principles

WBP is a "data controller". This means that we are responsible for deciding how we hold and use personal information about you. We comply with data protection law. This says that the personal information we hold about you must be:
  • Used lawfully, fairly and in a transparent way.
  • Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
  • Relevant to the purposes we have told you about and limited only to those purposes.
  • Accurate and kept up to date.
  • Kept only as long as necessary for the purposes we have told you about.
  • Kept securely.

The kind of information we hold on you…

Personal data, or personal information, means any information about an individual that can identify that individual. It does not include data where the identity has been removed (anonymous data). We will not collect, store and use any "special categories" of more sensitive personal information.

We will collect, store, and use the following categories of personal information about you:

How we collect your information

We collect the personal information listed above when an individual joins WBP and throughout your membership. You may have joined by asking us directly, using our “Contact Us” page on our website or other methods of contacting us. We may have invited you to join, either directly, by inviting you to attend and by your acceptance to one of our events, or you may have been invited through a recommendation from an existing member of WBP.

If we have invited you to join, we may have accessed your information from publicly accessible sources (e.g. your company website). We will only store and use your information if you have given us express permission to do so by joining WBP.

How we will use information about you as a member

A member is a named individual who has agreed and subscribed to be on our membership list.

We will only use your personal information when the law allows us to. Most commonly, we will use your personal information as you have consented for us to process your membership and where it is necessary for our legitimate interests and your interests and fundamental rights do not override those interests.

As a member of WBP, there are communications we need to send to you to fulfil our membership responsibilities to you, which are in the interests of WBP and you as a member. We will use your personal information to communicate with you about:
  • Invitations to WBP events that are relevant to our members and the local business community
  • Post-WBP event and general communications, such as press and media coverage, photographs, speaker presentations etc
  • Other events we think our members would be interested in
  • Business news of local, regional and national relevance to our members
  • Processing any donations or sponsorship
  • Informing you of WBP committee and similar meetings
  • Business and accounting purposes

We may also use your personal information for:
  • Internal record keeping
  • To improve our services
  • To contact you for market research purposes
  • To customise the website according to your interests

Testimonials, Videos and Photographs

We use videos and photographs from events and written testimonials about our services on our website and within our marketing materials. If you are part of a crowd or group of people in a photograph or video that we publish, and cannot be identified easily, we do not require your consent. Photographers attending our events typically roam the event venue taking photographs of members, guests and speakers. If you do not wish to be included in the event gallery of photographs, please make yourself known to the photographer so they can act accordingly.

However, if we wish to identify you (such as use a caption with the photograph or video), or the photograph or video just contains you or is of a small group of people including you, we will explain why we are using your image, what it is being used for and who might look at the image and ask for your consent beforehand (if you do not wish to consent then we will not include you in the photograph/video). If we use an agency to take the photographs or video footage, we will ensure the agency obtains the correct permissions.

If you provide us with a written testimonial about our services that we wish to publish publicly and include your name with the testimonial, we will inform you of why we are using it, what it is being used for and who might look at it and we will ask for your consent to use the testimonial.

How we use cookies on our website

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added, and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Our communications to you – giving you options

We normally send our communications to you by email. On all our emails, we will provide links to enable you to view this privacy notice and to let us know if you no longer want to be a member of WBP and wish to stop receiving any further communications from us.

Data sharing

We only share your personal information on very limited circumstances to enable us to provide you with the necessary service you require. If you are an attendee at one of our events, we may share your personal information with the Speaker(s) and their organisation, so that they are aware of their audience before the event. Otherwise, we will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen.

We require any third parties to respect the security of your data, and to treat in accordance with the law. We require them to only use your information in respect of the event they are speaking at, and for no other purposes. They only process your personal information on our instructions and where they have agreed to treat the information confidentially and keep it secure.

Data security

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those agents who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality. We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator (i.e. the ICO) of a suspected breach where we are legally required to do so.

Retaining your information

We will only retain your personal information for as long as you are a member (except bank details which are only kept for the purposes of the transaction and then removed). If you no longer wish to be a member of WBP and want to remove your information from our membership list, we will securely destroy your personal information in accordance with applicable laws and regulations.

Letting us know you no longer want to be a Member

To tell us you no longer want to be a member of WBP and receive our news bulletins and event invitations, please contact us (details below) or click on the relevant link from any of our email communications with you. You can also find this link on our website.

Once we have received notification that you no longer want to be a member of WBP, we will dispose of your personal data securely.

Your rights in connection with personal information

Under certain circumstances, by law you have the right to:
  • Request access to your personal information (commonly known as a "data subject access request"). This enables you to receive a copy of the personal information we hold about you and check that we are lawfully processing it.
  • Request correction or erasure of the personal information that we hold about you.
  • Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.
